• information about the accommodation and the stay period;
• any special requests or additional facilities;

• identification data, to the extent required by Spanish law.

• execute the reservation agreement;
• contact you about your reservation;
• send you practical information about your stay;
• process payments;
• comply with legal obligations, including the mandatory registration of guests with the competent Spanish authorities.

If you choose not to provide an email address, you can contact us by phone. The other necessary personal data are still required for executing the reservation.

We do not retain the personal data related to your reservation longer than necessary for executing the reservation agreement and complying with legal retention obligations. In principle, this retention period is a maximum of seven (7) years, unless a longer legal retention period applies.

2.2 Communication, questions, and complaints

When you contact us, request or make a reservation, we use your personal data to communicate with you and serve you as best as possible. We may use:

• or other communication means you use.

We process your personal data to:

• process your request or reservation;
• contact you about your stay;
• handle complaints or requests;
• inform you about the progress of your request or reservation;
• and, if you have not completed an online reservation, contact you to ask if we can help you complete your reservation.

To serve you as best as possible, we may record when, how, and what contact has been made with you. We use this data solely for careful execution of our services, handling questions or complaints, ensuring and improving our services, and complying with any legal obligations.

We do not retain this data longer than necessary for the purposes for which it was collected or as long as we are legally obliged to do so.

2.3 Use, maintenance, and security of our website

When you visit our website, certain technical data may be automatically processed. Think of the IP address, the type of internet browser, the operating system, the visited pages, the date and time of your visit, and how you use our website.

On our website, you can also use the live chat from Smartsupp. When you contact us via the live chat, we process the personal data you provide yourself, such as your name, email address (if provided), and the content of the chat conversation. 2.5 Guest reviews

After your stay, we may invite you to leave a review about your stay on our website, Trustpilot, or another review platform used by BONVIDA.

Leaving a review is always voluntary. When you post a review, the data you provide, such as your first name, place of residence, and the content of your review, may be publicly visible. We advise you not to include personal data or other confidential information in your review.

By posting a review, you give BONVIDA permission to publish it on our website and, if applicable, on our social media channels or other communication expressions of BONVIDA. BONVIDA reserves the right to refuse, shorten, or remove reviews if there is a valid reason to do so, for example, when a review violates the law, contains inappropriate language, or does not relate to an actual stay.

You can always request us to modify or remove your review. We will handle such a request within a reasonable period.

On our website, you can share content via various social media platforms or click through to the official social media accounts of BONVIDA, including Facebook, Instagram, Pinterest, X (formerly Twitter), TikTok, Google, and other platforms where BONVIDA is active.

When you use these features or contact us via social media, personal data may be processed by both BONVIDA and the respective social media platform. The privacy conditions of that platform apply to the processing by the social media platform. BONVIDA has no influence on how these platforms process your personal data.

We therefore advise you to consult the privacy statement of the respective social media platform before using it.

When you respond to our messages, post a review, share content with us, or approach us via social media, we may use the data you provide to respond to your message and improve our services.

• Bookzo, for processing and managing reservations and the associated administration;
• Smartsupp, when you use the live chat on our website;
• the competent Spanish authorities, to the extent we are required to do so under Spanish law, for example, for the mandatory registration of guests.

When we share your personal data with third parties who process personal data on behalf of BONVIDA, we ensure that these parties take appropriate security measures and process your personal data only in accordance with our instructions and applicable privacy legislation. If legally required, we enter into a processing agreement with these parties.

We may also provide your personal data to supervisory authorities, law enforcement agencies, tax authorities, or other competent government authorities, to the extent we are legally obliged to do so.

BONVIDA never sells your personal data to third parties and only provides it for the purposes mentioned in this privacy statement.

4. Bewaartermijnen

Wij bewaren jouw persoonsgegevens niet langer dan noodzakelijk is voor de doeleinden waarvoor wij deze hebben verzameld of zolang wij daartoe wettelijk verplicht zijn.

De bewaartermijn kan per categorie persoonsgegevens verschillen. Voor bepaalde gegevens gelden wettelijke bewaartermijnen, bijvoorbeeld op grond van fiscale, administratieve of andere wettelijke verplichtingen. • beheerders, sleutelbeheerders, schoonmaakbedrijven, onderhoudsbedrijven en andere servicepartners die betrokken zijn bij jouw verblijf;
• IT-dienstverleners, hostingpartijen en leveranciers van software of online diensten die wij gebruiken voor onze bedrijfsvoering;
• Bookzo, voor het verwerken en beheren van reserveringen en de bijbehorende administratie;
• Smartsupp, wanneer je gebruikmaakt van de livechat op onze website;
• de bevoegde Spaanse autoriteiten, voor zover wij daartoe op grond van de Spaanse wetgeving verplicht zijn, bijvoorbeeld voor de verplichte registratie van gasten.

Wanneer wij jouw persoonsgegevens delen met derden die namens BONVIDA persoonsgegevens verwerken, zorgen wij ervoor dat deze partijen passende beveiligingsmaatregelen treffen en jouw persoonsgegevens uitsluitend verwerken overeenkomstig onze instructies en de toepasselijke privacywetgeving. Indien wettelijk vereist, sluiten wij met deze partijen een verwerkersovereenkomst.

Wij kunnen jouw persoonsgegevens daarnaast verstrekken aan toezichthoudende instanties, opsporingsdiensten, fiscale autoriteiten of andere bevoegde overheidsinstanties, voor zover wij daartoe wettelijk verplicht zijn.
